Office Administrator at a Boutique Transactional Law Firm

Our client specializes in business law, corporate law, contract law, estate planning and trust administration. 

The ideal candidate will possess strong written and verbal communication, administrative and organizational skills, along with the ability to balance multiple priorities while being process oriented.  This role will be responsible for the administrative management of the Firm.


  • Prepare fee agreements
  • Generate, send, and track invoices for clients 
  • Process and receive payments from clients
  • Manage and order office supplies 
  • Respond to e-mail and social media inquiries about the Firm
  • Maintain company website and company social media accounts 
  • Provide support on marketing efforts and speaking engagements
  • Manage the overall office work flow
  • Interface with building management 
  • Manage and coordinate relationships with vendors and negotiate purchasing
  • Create and ensure adherence to company process and procedures
  • Lead administrative support team
  • Provide back-up administrative support
  • Troubleshoot basic computer issues
  • Other duties as needed 


  • Minimum of 3 years of combined office management and administrative support experience 
  • Associate’s Degree in relevant field 
  • Strong organizational ability, attention to detail and completion of tasks
  • Ability to prioritize multiple projects
  • Ability to provide leadership when needed
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability 
  • Strong interpersonal skills and the ability to build relationships with clients, prospects, partners, vendors, and staff
  • Strong verbal and written communications skills
  • Excellent computer skills, including proficiency in Microsoft Office (Word, Outlook, and Excel) 

Preferred Qualifications: 

  • Bachelor’s Degree in relevant field a plus
  • Experience in a law office or similar professional services firm a plus
  • Spanish language proficiency a plus
